Key accountabilities

To represent the company in the delivery of tenders. To receive instruction on behalf of the company and to issue instruction and provide direction in order to ensure the successful delivery of tenders assigned to the Senior Bid Manager.

Identify the likely key issues before the tender lands in VolkerFitzpatrick office:

o Assist with selection of designer / likely JV partners – agree tender design services and fees
o Identification of key subcontractors
o Meetings with key stakeholders / subcontractors to develop early relationships
o Identification of internal team
o Review available information from PQQ / Business Development team
o Research technologies / project background
o Identify client decision makers
o Prepare for and attend pre-tender interviews/meetings with Client Team

Prepare, arrange and carry out, where possible – Pre-Tender Workshops or Meetings with bid team, designers and supply chain members to get a head start over VolkerFitzpatrick’s competition.

o Liaise with, coordinate and manage the bid team, including:
• Estimators
• Buyer
• Planners
• Ops Support / Contracts Manager
• VolkerFitzpatrick Directors
• Design Team – review related design services for completeness
• Subcontractors / suppliers
• Client team
• Submissions Editor / Proposals Manager
• PQQ / Business Development
o Meet key subcontractors / suppliers
o Manage the distribution of revised tender information (via estimating dept)
o Oversee and filter the raising of TQ’s to client
o Attend site visits
o Photographic surveys
o Agree logistics strategy
o Identify site issues, key stakeholders
o Make contact with key stakeholders
o Monitor progress on tender deliverables
o Hold and chair mid-bid reviews
o Drive the development of VE/innovation
o Provide technical input on methodology and programme
o Ensure risk/opportunity schedule is put together and updated for settlement meetings
o Co-ordinate Red Team Review of final submission (Independent review to ensure message is clear and meets strategy and client driver)

o Prepare presentations and lead on mid-bid presentations and post submission presentations.  Ensure customer is left with positive impression that enhances our bid status
o Ensure all agreed actions are recorded, followed up and delivered on time

o Maintain contact with clients and key suppliers
o Ensure any client queries are responded to efficiently
o Ensure tender margin is not reduced in post-tender negotiations
o Attend pre and post award meetings with clients to facilitate operational and commercial handover of the project
o Ensure effective internal handover of the tender to operational and commercial staff
o Meet clients on unsuccessful bids to gather feedback on quality and financial
o Analyse client feedback and ensure continual improvement is carried forward

o Assist with presentation of the project to the settling team
o Ensure alignment of financials to words in quality submission
o Ensure settlement actions are captured and completed in time
o Ensure a suitable record of the settlement is made in conjunction with the Commercial Manager including:
• Assumptions
• Breakdown of risk allowances
• Subcontractor / material scopes
• Margin written in

o Obtain performance data from sites for incorporation into tenders (from HSEQ/Bus Dev etc)
o Validate compliance against quality submission commitments to assess practical limitations and ideas for future bids
o Assist with development and maintenance of data libraries
o Assist sites with data capture and link back to business development team
o Attend project close out meetings and facilitate production of suitable material
o Visit live contracts to review value engineering and current best practice and feedback knowledge in to bid team and future tenders

o Maintain effective relationships with key customers and supply chain partners
o Active promotion of VolkerFitzpatrick at external events
